How long does it take to confirm my dedicated virtual assistant?
Usually, finalization does not take more than 2–3 days. We are stating this period since it might take some time to find a specific skill-set you demand. If you want a VA immediately for a business-critical mission, we can find one who can get started right away. The more you share about the role, the faster we can match you.
What is the billing model — fixed or flexible charges?
We have VA billing plans from which you can choose, each designating a fixed number of hours per month as a minimum. Any deficit of hours due to VA absenteeism is compensated for. You always know the minimum charges and the billing for scaling up — such as creating a 3 or 4-member VA team.
How quickly does work start after payment?
Project onboarding starts once the contractual agreement is signed. This ensures that payment processing time is better utilized. Your VA begins preparing for the work ahead immediately. Usually, operations begin within 24 hours of signing the contract.
What happens if I am not happy with my VA?
If you are not happy with VA performance, our Quality Assessment team will intervene, identify the reasons, and begin screening more skilled VAs who can easily substitute. VA replacement is seamless and without any additional cost to you.
What happens if I no longer need the VA and want a refund?
You have two options: (1) Use the unutilized hours from our other digital services — designing, programming, content writing, data processing, eCommerce, SEO, or social media. (2) Request a refund once unused hours are confirmed and the reason for stopping work is established.
Are there any limitations to contacting my VA?
We don't limit VA interactions. You can communicate via WhatsApp, email, Skype calls, or direct phone calls. If you use a project management dashboard, our VA can be added to the user list for seamless collaboration.
Can my VA work on weekends?
Yes, this can be arranged. Many of our clients have VAs work through weekends with compensatory leaves on weekdays. We recommend disclosing such requirements at the time of setting up the project so we can screen the best possible VA for the role.
Does VAPro outsource tasks to freelancers?
No. Our VAs are direct, full-time employees who work exclusively for our clients. You can expect absolute data security and privacy in all terms of engagement with any of our VAs.
What happens if my VA falls sick?
For extended illness, we find a substitute VA to ensure continuity of work. For sporadic leaves, the hours lost are compensated for and adjusted in billing. You are never charged for hours your VA did not work.
Can I get the same VA after a break?
Yes, we try our best to overcome availability limitations and ensure returning clients can continue with the VA of their choice when they have a need again.
What if my VA leaves after I've trained them?
Please don't worry. Our VA services come with assurances about data security, skill enhancement, and training support. We will always have a suitable replacement, and re-training time for the substitute VA will not be charged for.
How skilled are your VAs?
Expect our VAs to be graduates, post-graduates, MBAs, diploma/certification holders, and engineers. Most have about 3 years of relevant experience. They can call clients, draft emails, analyze data, and participate in conference calls with stakeholders.
Is there a free trial before buying a plan?
Yes! We believe in try-first, buy-later. You can test our VA services for free for up to 4 hours. This is zero-obligation and unpaid. After this, if the VA's performance is not up to the mark, you can seek a replacement or raise a query for hours lost due to carelessness.
How is data security guaranteed?
We take data privacy very seriously. All IT gear used by VAs is prepped for maximum data security. Our team is trained never to compromise client data privacy. Your VA can be trusted with financial, legal, personal, and other confidential information. NDAs are signed before work begins.
How do I verify the hours my VA has worked?
At the end of each week, your VA shares a list of all tasks completed and time consumed for each. This gives you 100% assurance that no unwarranted project hours are filed, providing full control over your VA's performance despite different time zones.
